Well Launched Privacy Policy
Effective October 23, 2026 · Last updated November 2, 2026
Well Launched LLC (“Well Launched,” “we,” “us,” or “our”) helps licensed mental health professionals plan, launch, and grow a private practice. This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. It applies to welllaunched.com, the Well Launched app available at app.welllaunched.com, including all pages you see after you sign in (the “App”), our member community, and our emails (together, the “Service”). Our Terms of Service also apply to your use of the Service.
1. The most important thing: no client information
Well Launched is for running your business. It is not a place for client or patient information, and our Terms of Service prohibit you from entering such information. We do not want, request, or knowingly collect protected health information (PHI) or other information about your clients, and we are not a business associate under HIPAA. Client records belong in your electronic health record (EHR). If we learn that client information has been entered into the Service, we will delete it.
2. Information we collect
Information you give us
- Account information: your name, email address, and password (stored by our authentication provider in hashed form), or your basic Google profile (name, email address, and profile photo) if you choose to connect with Google.
- Professional and practice information: practice name, location, license type, license number and state, specialties, fees, website and directory listings, and your answers and choices in each step of the App.
- Files and content: documents and files you upload or create (such as a logo, brand guide, photos, and draft documents), website content you approve, and AI prompts you enter.
- Community posts: questions, answers, and other content you post in the member community, which other members can see.
- Communications: messages you send us, support requests, and survey or feedback responses.
- Workshop registrations: if you sign up for a live workshop, your email address, first name, state, where you are in opening your practice, and any question you send us.
Information collected automatically
- Usage information: records of how the App is used, such as which features you use and when, and a record of AI usage tied to your account so we can manage costs and usage limits.
- Device and log information: IP address, browser and device type, and log data that our hosting and security providers collect to operate and protect the Service.
- Cookies and similar technologies: we use cookies and browser storage that are necessary to sign you in, keep your session secure, and remember your settings and progress (including connected-folder permissions stored in your browser). We use privacy-friendly visitor counts provided by Cloudflare that do not use cookies to track you across websites. Inside the App, we do not use advertising cookies or cross-site tracking.
- Advertising on our marketing website: we may use the Meta Pixel, a tool from Meta Platforms, Inc. (“Meta”), which sets cookies and similar technologies, on welllaunched.com to measure how well our ads work and to show Well Launched ads on Facebook and Instagram to people who have visited our website. We will not use it before December 1, 2026. When it is in use, the Meta Pixel may collect the pages you visit, actions you take (such as starting to sign up), your browser and device information, and your IP address, and Meta may connect this with your Meta account and use it as described in Meta’s own privacy policy. We never place the Meta Pixel inside the App, on websites we host for members, or on any page where you enter practice information, and we never share anything you write in Well Launched with Meta. We do not send your email address or other contact information to Meta through the Meta Pixel. We honor Global Privacy Control signals; if your browser sends one, the Meta Pixel does not load. We do not load the Meta Pixel for visitors in Canada.
Information from other sources
- Payment information: Stripe processes payments. We receive confirmation of your purchase, plan, billing status, and limited card details (such as card type, last four digits, and expiration date), but never your full card number.
- Google: if you choose, basic profile information from Google sign-in, access to files in your Google Drive that Well Launched creates or that you select, your public Google Business Profile, and, if you connect them, access to manage your Google Business Profile and read-only search data from Google Search Console.
- Other connected accounts: if you choose, access to a Dropbox or OneDrive folder where we save your documents, and a connection to your Wix website for publishing blog posts you approve.
- Public information about your practice: when you run tools like the online presence review, we read your public website, public directory profiles (such as therapist directories and insurance network listings), and public business listings (such as map and review listings), and we run public web searches using your name, practice name, and location. We collect only what is publicly available about your practice, such as your practice name, contact details, services, specialties, and reviews, and we use it only to generate the results of the tool you ran.
3. How we use information
- To provide the Service: we use your information to build your plan, complete your forms and documents, generate AI-assisted drafts, build and host your website, run the tools you request, save your progress, and provide support.
- Payments and subscriptions: we use your information to process payments, manage your plan and any Grow subscription, and send required subscription reminders, such as the reminder before your first Grow charge.
- Account and service emails: we use your information to send confirmations, password resets, and important notices about the Service or our policies.
- Check-in emails and news: we use your information to send check-in emails and reminders about your plan, which you can turn off at any time, and, if you opt in, news and offers about Well Launched. You can unsubscribe at any time.
- Member community: we use your information to operate the member community, including displaying your profile and posts to other members.
- Security and enforcement: we use your information to keep the Service secure, prevent fraud and abuse, and enforce our Terms.
- Improving the Service: we use your information, including in aggregated or de-identified form, to understand how the Service is used and to improve it.
- Legal compliance: we use your information to comply with applicable law, respond to lawful requests, and establish, exercise, or defend our legal rights and claims, including in connection with any actual or threatened dispute, investigation, or legal proceeding.
We do not sell your personal information for money, and we do not use it to train AI models. The only information we may share for advertising is information about visits to our public marketing website collected through the Meta Pixel, as described above, and you can opt out at any time (see Your choices and rights). We never share information from inside the App for advertising.
4. AI features
In this Privacy Policy, “AI” means artificial intelligence, including generative AI tools and large language models, that the Service uses to produce text, suggestions, or other results from the information and prompts you provide. When you use a feature that relies on AI, the relevant practice information and prompts are sent to our AI provider (meaning the third-party company that supplies the AI models used by the Service’s AI features and that processes this information only on our behalf and at our direction), which as of the date of this Privacy Policy is Anthropic, to generate a result. Under Anthropic's commercial terms as of the date of this policy, Anthropic does not use this information to train its models and deletes it within 30 days, except where it must keep it longer for safety review or as required by law. AI features are designed to help you draft, not to make decisions about you. Do not enter client information into AI features.
5. Who we share information with
We share personal information only as described below.
Service providers. We use the following companies to run the Service, and give them only the information they need to perform services for us:
- Supabase: account sign-in, database, and file storage.
- Anthropic: generating AI-assisted drafts and results.
- Stripe: payment processing and subscription billing.
- Netlify: information related to hosting the App.
- Cloudflare: information related to hosting welllaunched.com and the websites we build for members, security, and privacy-friendly visitor counts.
- Google: “Continue with Google” sign-in and, if you choose, Google Drive, Google Business Profile, and Google Search Console connections, and web fonts used on our websites and the websites we build for members.
- Resend: sending account, reminder, and other emails.
- Dropbox: if you choose, saving your documents to your Dropbox.
- Microsoft: if you choose, saving your documents to your OneDrive.
- Wix: if you choose, publishing blog posts you approve to your Wix website.
- Zoom: hosting live workshops you register for.
We may update this list as our providers change.
Advertising partner. When we use the Meta Pixel, Meta receives information about visits to our public marketing website through it, as described in section 2. Meta is not our service provider and uses this information under its own privacy policy.
Other members. Community posts, and your name and profile information shown with them, are visible to other members.
Public websites. Information you approve for your practice website is published publicly on the internet.
At your direction. We share information when you direct us to, such as when you connect a third-party account.
Legal and safety reasons. We may disclose information if we believe in good faith that it is required by law, subpoena, or other legal process, or necessary to protect the rights, property, or safety of Well Launched, our members, or others.
Business transfers. If Well Launched is involved in a merger, acquisition, financing, reorganization, or sale of assets, your information may be transferred as part of that transaction, subject to this Privacy Policy.
6. Connected folders
If you connect a folder on your computer, Google Drive, Dropbox, or OneDrive, Well Launched saves documents you create into that folder. For Google Drive, we can access only files Well Launched creates or that you choose. Sign-in permission for connected folders is kept in your browser, and you can disconnect at any time from your account or from that service's account settings. Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. If you connect your Google Business Profile, we use that access only to complete and update your profile and to publish posts you approve. If you connect Google Search Console, our access is read-only and limited to search data about your website.
7. How long we keep information
We keep your account information, practice information, files and content, and payment records for as long as your account is open, so that your plan, documents, and website remain available to you, and we keep usage and technical information only as long as needed for security, troubleshooting, and improving the Service. If you delete your account or ask us to delete any of your information, we delete it within 30 days, except where we must keep certain records (such as payment and tax records) for legal, accounting, or dispute-resolution purposes, and except for information in routine backups, which is deleted on our backup schedule. Community posts you have not deleted remain visible to other members after your account ends, shown as from “Former member” and no longer linked to your account. You can delete your own posts at any time, including before you close your account. If you close your account or we discontinue your plan, a website we host for you remains online for 30 days so you can download it and move it to another provider, after which we take it offline and may delete it. If you receive a refund for the plan under which we host your website, we generally take the website offline within 1 to 5 days and may delete its content. We may also take a website offline sooner in response to a complaint or takedown, or if we suspend or terminate your account, each as described in our Terms of Service.
8. Your choices and rights
- Access and update: you can view and update most of your information in the App at any time.
- Copy and deletion: you can request a copy of your information, or ask us to correct or delete it, by emailing [email protected]. You can delete your account from your account settings.
- Emails: you can unsubscribe from check-in emails and news using the unsubscribe link in any such email. We will still send account and service messages.
- Connected accounts: you can disconnect Google Drive, Dropbox, OneDrive, your Google Business Profile, Google Search Console, or Wix at any time, in the App or in that service's account settings.
- Cookies: you can block or delete cookies in your browser settings, but the Service may not operate properly or fully without certain necessary cookies.
- Advertising: you can opt out of the Meta Pixel on our marketing website by turning on Global Privacy Control in your browser, by using the “Do Not Share My Personal Information” link in our website footer, or by emailing [email protected] with the subject “Do Not Share.” Blocking or deleting cookies in your browser may also limit the Meta Pixel. You can also manage the ads you see in your Meta account’s ad preferences.
State privacy rights. Depending on where you live, you may have rights under state privacy laws to confirm whether we process your personal information, to access, correct, or delete it, to obtain a portable copy, and to opt out of the sale of personal information, targeted advertising, or certain profiling. We do not sell personal information for money or engage in profiling that produces legal or similarly significant effects. We may use the Meta Pixel on our public marketing website for targeted advertising, as described in section 2, which some state laws may treat as a sale or sharing of personal information; you can opt out using Global Privacy Control, the “Do Not Share My Personal Information” link in our website footer, or by emailing us with the subject “Do Not Share.” To make a request, email [email protected] with the subject “Privacy Request.” We will verify your request using the email address on your account and respond within 45 days, or as otherwise required by law. If we decline your request, you may appeal by replying with the subject “Privacy Request Appeal,” and we will respond to your appeal within 60 days. If your appeal is denied, you may contact your state attorney general. We will not discriminate against you for exercising your rights. You may use an authorized agent where the law allows, provided that we may ask for proof of the agent's authority in such cases.
Canadian privacy rights. If you live in Canada, you have rights under the Personal Information Protection and Electronic Documents Act (PIPEDA) and, where they apply, provincial privacy laws such as Quebec’s Act respecting the protection of personal information in the private sector (Law 25). These include the right to access the personal information we hold about you, to ask us to correct it, and to withdraw your consent to our use of it, subject to legal and contractual limits (withdrawing consent may mean we can no longer provide the Service). Our privacy officer, Dr. Emily Turinas, is responsible for how we handle personal information, and you can reach her at [email protected] or at the mailing address below. To make a request, email us with the subject “Privacy Request,” and we will respond within 30 days, or as otherwise required by law. Your information is processed and stored in the United States and other countries where our service providers operate, and it may be accessible to courts, law enforcement, and other authorities there under their laws. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d’accès à l’information.
9. Security
We use encryption in transit, access controls so each member can see only their own information, and reputable providers with strong security practices. No system is perfectly secure, so please use a strong password and keep it private. If we learn of a security incident affecting your personal information, we will notify you as required by law.
10. Children
Well Launched is for licensed professionals and is not directed to anyone under 18. We do not knowingly collect personal information from children. If you believe a child has provided us information, contact us and we will delete it.
11. Location of processing
Well Launched is based in the United States, and the Service is intended for users in the United States and Canada. Your information is processed and stored in the United States and in other countries where our service providers operate.
12. Websites we host for members
Members are responsible for the content of their own practice websites and for providing any privacy notice to visitors of those websites. When we host a member's website, we act on the member's behalf, and visitor information processed through the site (such as basic logs and privacy-friendly visitor counts) is handled to provide hosting for that member. We do not place the Meta Pixel or other advertising tracking on member websites. Member websites should not collect client health information through Well Launched.
13. Changes to this policy
If we make material changes to this Privacy Policy, we will notify you by email or in the App before they take effect and update the “Last updated” date above. We will not apply material changes to information we already collected in a way that is less protective without your consent where the law requires it.
